Your Responsibilities
- Preparing and/or creating contract, termination, extension or amendment documentation based on templates and using the information.
- Accurately processing timesheets from multiple client portals and contractor expense claims, and saving the payment documents onto the timesheet system for future investigations/audits etc.
- Reconciling contractor invoices in a timely manner to process them for payment.
- Providing relevant pay information to contractors, sales consultants, and managers.
- Recording and inputting details of all documentation received back from contractors.
- Retaining basic knowledge of any compliance/payment legislation.
- Chasing required documents in line with the Clients’ and/or Square One’s requirements.
- Communicating both internally and externally in connection with information and outstanding documentation required for contracts, compliance and payments.
- Responding to contractor and consultant queries on the phone. Providing references for past contractors.
- Assisting Team Leader in sending and checking payment runs.
- Assisting and covering Team Leader and supporting the CFO on ad-hoc tasks as and when required.
To succeed in this role, you should demonstrate:
- First experience working in the Compliance & Payments team. Background in timesheet processing is required, with experience in drafting contractual agreements viewed favourably. Previous experience in the recruitment industry is a strong advantage.
- Excellent command of the English language, both written and verbal, with confidence in working with legal and contractual terminology - mandatory.
- Ability to absorb, retain, and apply new information quickly
- Strong attention to detail and high level of accuracy.
- Well-developed organisational skills and the ability to manage multiple tasks efficiently.
- Proactive approach with the ability to use initiative and offer well-reasoned solutions without constant supervision.
- Customer service orientation with a professional, friendly, and helpful attitude.
- Team player mindset, committed to achieving departmental and company objectives.
